Uni-Assist Application Process for Indian Students: Complete Guide

What is Uni-Assist and How Does It Work?

Uni-Assist is a non-profit organization based in Berlin that processes international student applications on behalf of German universities. It is not a university and it does not make admission decisions.

When a German university uses Uni-Assist, it outsources the initial document verification step to them. Uni-Assist checks whether your qualifications are valid, converts your grades to the German grading scale and confirms you meet the basic eligibility criteria for the program. Once this is done, it forwards your complete application to the university for the actual admission decision.

Think of Uni-Assist as a document screening layer between you and the university. Passing through Uni-Assist does not guarantee admission. It only confirms your documents are in order.

Uni-Assist specifically does the following for your application:

• Evaluates whether your international qualifications meet German university entry standards
• Converts your grades from the Indian grading system to the German 1.0 to 5.0 scale
• Checks that all required documents are present and properly certified
• Verifies language proficiency certificates
• Forwards the complete verified application to your chosen universities

Uni-Assist does not decide whether you are admitted, communicate with universities on your behalf, provide visa guidance or improve your application documents.

Full Application vs VPD: Which One Do You Need?

This is the most confusing part of the Uni-Assist process for Indian students. There are two distinct routes: a full Uni-Assist application and a VPD-only application. Which one you need depends entirely on the university and program you are applying to.

Full Uni-Assist Application

In a full application, Uni-Assist handles the entire process. You submit all your documents to Uni-Assist, pay the fee, and Uni-Assist forwards your complete verified application directly to the university. You do not need to apply separately to the university. This is the most common route for Indian students applying to Uni-Assist member universities.

VPD (Vorprufungsdokumentation)

A VPD is a pre-review documentation certificate issued by Uni-Assist. Some universities use Uni-Assist only to verify documents, but manage their own admissions process directly. In this case, you apply to Uni-Assist for a VPD, receive the certificate and then submit it yourself directly to the university along with your full application.

The VPD contains three pieces of information: which educational certificates you presented, what type of university entry is possible with those certificates and how Uni-Assist rates your grades in the German system.

How to find out which route your university requires: Go to your chosen university's international admissions page. If it says "applications through Uni-Assist," use the full application route. If it says "VPD required," apply for a VPD and then apply directly to the university. If it says "direct application," you do not need Uni-Assist at all.

Which Universities Use Uni-Assist?

Uni-Assist processes applications for over 180 German universities. However, not every program at every member university uses Uni-Assist. Always check the specific program page, not just the university page.

This is a critical point that trips up many Indian students. A university may be a Uni-Assist member but offer direct applications for certain Master's programs. Always verify the application route for your specific program before creating your Uni-Assist account.

Universities that do not use Uni-Assist and accept direct applications include RWTH Aachen, LMU Munich, TU Berlin, Heidelberg University and Goethe University Frankfurt for most programs. Applying directly to these universities saves you the €75 Uni-Assist fee.

Documents Required for Indian Students

Indian students must submit a specific set of documents to Uni-Assist. Missing even one document or uploading a poor-quality scan is the most common reason for application delays and rejections.

All documents must be in English or German. Documents in any other language must be accompanied by a certified translation. Scans must be in PDF format at a minimum of 300 DPI. Phone photos are not accepted.

A critical point for Indian students: upload complete transcripts showing all semesters, not just your final year or degree certificate. Uploading only the final year transcript is the single most common reason Indian student applications are delayed or rejected by Uni-Assist.

Step-by-Step Application Process on My Assist Portal

The Uni-Assist application is fully digital through the My Assist portal at my.uni-assist.de. There are six steps. The entire process from account creation to submission takes 2 to 4 hours if your documents are ready.

Step 1: Create Your My Assist Account

Go to my.uni-assist.de/registrierung and register with your email address. You will receive a confirmation email with an activation link. Once activated, log in to access the portal. Your account generates a unique Uni-Assist applicant number, which you will use for all future correspondence.

Step 2: Search for Your Program

Use the Study Finder tool inside the portal to search for your target university and program. Filter by university name, subject area and semester. When you find your program, add it to your application list. You can add multiple programs in the same semester from this step.

Before adding a program, confirm on the university's own website that it requires Uni-Assist processing. Not all programs listed in the Uni-Assist database require a full application. Some only require a VPD.

Step 3: Fill in Your Personal and Academic Details

Complete the online application form for each program. This includes personal information, educational history and details of all institutions attended. Indian students must fill in details for Class 10, Class 12 and Bachelor's degree separately. You will also be asked whether you have passed a university entrance exam. For Indian students, this refers to Class 12 board exams.

Step 4: Upload Your Documents

Upload all required documents as PDF files. Each document must be clearly named with the university and program it is intended for, especially if you are applying to multiple programs. Ensure scans are at minimum 300 DPI and all pages are included. Do not upload photos taken on a phone.

If a document is not in English or German, upload both the original and the certified translation as separate files.

Step 5: Pay the Application Fee

Pay the Uni-Assist processing fee before the application deadline. Payment options include credit card (instant) and bank transfer (allow 7 to 14 business days for international transfers). The fee is non-refundable regardless of the outcome of your application.

Step 6: Submit and Track Your Application

Review your application carefully before submitting. Once submitted, log in to your My Assist account to track the status. Uni-Assist will notify you by email if any documents are missing or if additional information is required. Once processing is complete, Uni-Assist forwards your application to the university and you will receive your evaluation result in your portal.

Uni-Assist Fees 2026

The Uni-Assist fee is €75 for your first university application in a semester and €30 for each additional university in the same semester. All fees are non-refundable.

These fees cover document evaluation, grade conversion and application forwarding. They do not cover any university-specific application fees, which some universities charge separately. Always check the individual university's admissions page for additional fees.

Some universities cover the Uni-Assist fee for their applicants. Check the Handling Fees section on the Uni-Assist website (uni-assist.de/en/how-to-apply/pay-all-fees/handling-fees) to see if your target program is listed. If it is, your application through Uni-Assist is free.

If you are applying to 3 or more universities, Uni-Assist is more cost-effective than applying separately to each. Applying to 5 universities through Uni-Assist costs €195 compared to €375 if each charged a separate €75 fee.

Processing Time for Indian Students

The official Uni-Assist processing time is 4 to 6 weeks. For Indian students, the realistic processing time is 5 to 7 weeks during normal periods and 7 to 9 weeks during peak season (June to July for Winter intake and December to January for Summer intake).

Processing times are longer for Indian applicants because document verification is more complex for Indian academic certificates. The APS certificate requirement adds a layer of verification that must be completed before Uni-Assist can process your application.

Times are estimates and can vary based on application volume and document completeness.

The practical implication for Indian students: do not apply in June or July for a Winter intake. The July 15 official deadline is the last possible date, not the recommended date. If you submit on July 1, Uni-Assist may not complete processing before the university's internal deadline. Apply by May 31 for Winter intake and by November 30 for Summer intake to allow sufficient processing time.

Application Deadlines: Winter and Summer Semester

The standard Uni-Assist deadlines are July 15 for Winter Semester (October start) and January 15 for Summer Semester (April start). However, many universities have earlier internal deadlines. Always check the specific program deadline, not just the Uni-Assist platform deadline.

Several top universities have program-specific deadlines that are earlier than the Uni-Assist platform deadline. For example, some programs at TU Dortmund and Freie Universitat Berlin close applications in May or June for Winter intake. Always check the individual program page on the university website for the exact deadline.

5 Mistakes That Get Indian Students Rejected on Uni-Assist

These five mistakes account for the majority of Uni-Assist rejections and delays for Indian applicants. All of them are avoidable.

• Uploading incomplete transcripts. The most common mistake. Indian students often upload only their final year marksheet or degree certificate. Uni-Assist requires complete transcripts showing all semesters, all courses, all grades and the grading scale. The transcript must be on official university letterhead with a stamp. If you attended more than one university, upload transcripts from all institutions.
• Submitting documents in the wrong format. Uni-Assist accepts PDF files only. Minimum scan quality is 300 DPI. Phone photos are rejected. Files must be under the size limit (typically 5 to 10 MB per file). All pages must be included and readable. A single blurry page or missing page can delay your entire application.
• Uploading an expired language certificate. IELTS and TOEFL scores are valid for 2 years from the test date. If your certificate is older than 2 years at the time of application, it will be rejected. Check the expiry date before uploading. Some programs also require a minimum band score of 6.5 rather than 6.0. Verify the specific requirement for your program.
• Applying too close to the deadline. The July 15 deadline is the last date to submit, not the recommended date. For Indian students, Uni-Assist processing takes 5 to 9 weeks. Submitting on July 1 means your application may not be processed before the university's internal deadline. Apply by May 31 for Winter intake.
• Not having the APS certificate ready. The APS certificate is mandatory for Indian students and must be obtained before you can complete the visa application. While you can begin your Uni-Assist application without it, you cannot complete the visa stage without it. The APS takes 3 to 6 weeks to process. Apply for it before or at the same time as your Uni-Assist application.
